Evaluator Recruitment and Preparation

You need at least 3 evaluators per session. 4 to 6 is better. More than 6 rarely helps.

Who makes a good evaluator. Someone who knows the sport and can assess skill levels relative to the age group. They do not need to be experts. They do not need coaching certifications. They need to watch a kid and answer the question "how does this player compare to the others."

Conflict of interest. If an evaluator has a child in the eval, RosterForge automatically ensures that evaluator does not score their own kid. The system handles this. You do not need to exclude parents from evaluating. You just need to register the conflict in the app during setup.

Recruit early. Do not recruit evaluators the day of the eval. Reach out at least a week before. Confirm availability. Send them the evaluator link a day or two before so they can open it and see the waiting screen (confirming the link works and their phone is compatible).

Prepare them. The 5-minute briefing on eval day is sufficient. Do not over-train. The app guides them through every step. Their job is to watch the player and answer the questions on the screen.

What if an evaluator drops out. RosterForge's overflow pool mechanism ensures that unscored players are visible to remaining evaluators. Coverage may be thinner but no player will be invisible to the system. This is another reason to have more than the minimum number of evaluators.
