Pinnie Assignment Workflow
Pinnies are how evaluators identify players. If your pinnie assignment is not solid, nothing downstream works. Evaluators cannot score a kid they cannot identify.
Assign pinnies during setup, not at the door. This is the single most impactful thing you can do. When every player has a number before they walk into the building, check-in takes seconds. When pinnies are assigned at the door, check-in becomes a bottleneck that delays everything.
How to do it in RosterForge. Go to your event's Setup page. In the Players section, you will see a pinnie inventory and assignment tool. Add your pinnie colors and number ranges. Assign them to players. This can be done days or weeks before the eval.
If you have multiple pinnie colors. Use them strategically. If you plan to scrimmage, assign colors so that each scrimmage team is visually distinct. For example, all white pinnies on one side, all black on the other. The kids can see at a glance who is on their team.
Numbering matters. Evaluators receive players in pinnie number order. If your pinnies are numbered 1 through 30, evaluator 1 might get players 1, 5, 9, 13 and so on. The sequence needs to match what is happening on the floor. Kids should line up by number for drills. If the numbers on the floor do not match the numbers on the screen, evaluators will struggle.
What if you do not have pinnies. Cardstock numbers with safety pins work. Write the numbers large and clear. Attach them to the front and back so evaluators can read them from any angle. Stickers on helmets are hard to read from the boards.
What happens when you skip this. When pinnies are assigned at the door instead of during setup, the evaluator assignment algorithm receives players in check-in order, not numerical order. This means the sequence of players on the evaluator's phone may not match the sequence on the floor. It creates confusion for evaluators and risks incomplete coverage.
RosterForge flags any checked-in player without a pinnie assignment in red on the coordinator's pre-flight checklist.
