When to Close Registration and Why
Close registration at least 48 hours before your first evaluation session. This is not negotiable if you want a quality evaluation.
What closing registration gives you. A final roster. You cannot assign pinnies to players who do not exist yet. You cannot size sessions correctly if the number keeps changing. You cannot calculate evaluator assignments if the player list is a moving target. Closing registration is the act that makes everything else possible.
The 48-hour window. Two days before the eval is enough time to assign pinnies, create sessions, configure drills, and send evaluator links. It is also enough time to notice problems (too many players for one session, missing evaluators) and fix them before anyone shows up.
What about late signups. They happen. RosterForge supports adding players at check-in for exactly this reason. But late additions should be exceptions, not the norm. If 20 percent of your roster signs up on eval day, you did not close registration early enough.
The real cost of open registration. When registration is open during the eval, the player list changes while evaluators are scoring. New players enter the system without pinnies, without positions in the evaluator rotation, without being part of any session plan. The coordinator spends their time entering registrations instead of managing the eval. We have seen this happen. The eval suffered.
